Gala/Event table sponsorship benefit amounts

    I have what I think to be the answer but want to double check myself here. We have a Unit that is doing a gala. For table sponsorships, we have figured out what the FMV is for the different benefits. Now the unit is saying that the larger sponsors are waiving their benefits and they're asking us to adjust the benefit amount accordingly. My gut is saying that it doesn't matter if they waive the benefits because they have the opportunity for them. Am I correct? Or are we allowed to reduce the benefit amount because the sponsor is, say, waiving valet parking?

    If they waive the benefit at the time of the solicitation or payment then you can consider the entire amount a countable gift (assuming you do not offer any form of advertising). However, if the simply fail to use the benefit then your statement is correct. It was their choice to not use the benefit they earned.

    I should have added that anytime any donor accepts a benefit and later wants to return it, that return could represent an in-kind donation. Your internal policies should indicate whether that's something you want to consider.

    If you permit this, the holder of the benefit should be issued a standard GIK receipt reflecting only a description of what they gave with no value information.

    Just had a meeting with a  staff member who wanted some training on running some queries for donors at specific gift levels:

     

    $250,000

    $500,000

    $1,000,000+

     

    Their plan is to invite the donor to dinner once they make their commitment, either via cash, stock OR pledge.  The dinner would include their significant other, if appropriate, the GO, Foundation CEO and hospital CEO.

     

    What are the concerns or pitfalls that should be considered with such a plan?

    Just keep the dinner value under $125 (for two people), and you should be fine.

    For a golf outing, if a company wants to sponsor a hole and the organizations lets them put a company sign at the hole and their names in a brochure  - that is a form of advertising?

    No, it isn't, as long as the only exposure is the sponsor's name, logo, and contact information.

    But if they allow a representative to be on-site sharing promotional information in addition, then that's when advertising comes into play. Once they can share quantitative and qualitative information, or if you provide endorsements or inducements, you have crossed the advertising line.
