  • 1.  Tracking Named Spaces in Database

    Hi All!

    Our Donor Relations team has taken on the project of tracking down and clearly documenting named items around our campus (ie: seats, trees, rooms, buildings, robes, etc.).  Sometimes this includes a gift where we have had it clearly identified, sometimes it's just a plaque was found that has been placed but we don't have a specific gift associated with it.  Sometimes it's the donor themselves that is listed and other times it's been named in honor/memory of someone else.  I'm curious if anyone else tracks this information in their CRM  and if so, where have you found this easiest to track?  We use RE NXT, and we have a few ideas but would really love to hear what others are doing to track this information to make sure we have thought through all of our options.

    We do track it.

     

    It is a ton of work gathering all the data/identifying all the spaces in the beginning.  But it does enrich the database. 

     

    Honorific (which does include old entries where we cannot substantiate a gift) are simply tracked on the constituent's record as a note.  Now, true named spaces are linked to the space in which they are named.

     

    As an example, we are in Ohio, the Knowlton Foundation provided a naming gift for our equine facility. We created a record (an entity record) in our database for the Equine facility and linked the foundation to the record.  Same for the stalls, classrooms, etc.

     

    The relationship is:

     Named location

    whose miscellaneous space (for a pasture)

    is <donor name/ID> 

     

    We also track the gift amount and the room number or other extra information.  If you were to adopt a similar process, then this data can be used to assist with report updates for the team during a capital campaign.  Named locations have been committed, whereas naming opportunities have not...

    I've used the event module in RE to do exactly this same thing. 
    We even tracked the seats in the performing arts center (they were "owned" by donors) there as well.
    The project required a bit of setup, but it worked out really well and made for easy reporting.

    Oh wow, great, Events isn't even something I've thought of and would love to hear more about how you structure the events.  I think I have a good idea of how you're using the seating section of events to track seat naming, but I'd love to hear more about how many different events you have for this type of thing.  Guessing it's a new event for each different type of naming or location to help keep it easy to isolate specific areas/locations etc.  I'm not sure if you would be available to chat so I can get a few more details from you and possibly see a couple of examples you may be willing to share and see what reports you're using?  I would greatly appreciate it!

    We do a combination of a custom field and an attachment.

    Custom Field/Attribute category called Named Space that uses a look-up table of Named Spaces of finite values from which to choose.
    Then the photo of the signage is in an attachment with a Tag of Named Space.

    Hi Tammy,

    Yes, we track all naming opportunities and plaques in Raiser's Edge.  Works great!  We created specific constituent types for naming opportunities and "plaques on campus."   The record includes a photo of the signage or plaque and its location.  It's also linked to the donor and the gift officer who facilitated the gift in case we have any questions.  Kudos to my colleague who ran with this project and was dogged in tracking down 50 years of plaques because its labor intensive.  However, well worth it and just good stewardship.  Happy to talk in more detail offline.   Mark

    Our office is embarking on a similar project as well. We were originally going to go with Attributes/Custom Fields, but wanted to be able to track those spaces that have changed names over time (we're tracking all named spaces, not just those associated with charitable giving). We're leaning towards using relationships to include specific dates of the naming(s).

    Hello,

     

    We have attributes (custom fields) on our Carroll University record.

    Named Building

    Named Floor

    Named classroom

    Named Office

     

    Then we have a drop down that has the name of the buildings. Date is when the naming occurred and comments have the details; room number, name of the office (purpose), name of the donor.

     

    On the donor record we have an action type of Named space or item. That is where even more detail is tracked i.e. named space information listed above, the commitment details, etc. And an attached photo of the signage.

     

    We looked at using events, but reporting and the variety of users that would need to access the information was the deciding factor for the direction we chose.

    Good morning,

    Donor Services uses FMI Interact, which is separate from our CRM system. We are able to do more in this program. It is managed by facilities management. We track all compliance approvals, as well. Here is a sample of the build form that they used to build it.
