I am trying to get a sense if schools are still capturing check numbers during their gift entry process. Is this considered a good practice still? With the increase in online giving, capturing the check number can be seen by some as an added data entry item that can slow down entry, but I am curious to know how other schools are moving forward.
- Does your gift entry process still input the check numbers for gifts made by check?
- How are you able to quickly determine if a gift by check had been entered into your system? Especially when the check is made from a third-party, the donor's name associated with the check may be a common name (multiple instances on different records).
Background on current state process at my institution:
Currently, during entry our processors are not capturing check numbers at the time of entry. Checks are deposited through the centralized cashier's office at the University after the gift has been received and processed into the CRM by the gift processing staff. The gift processing team also does not have access to the bank to see the image of the deposited checks and requests to determine if a specific check had been received/cashed is typically sent to the Cashier's Office which can cause delays in response.
