After searching BP documents and APRA resources, I'm throwing this out for a quick poll:

Who has responsibility for closing out a prospect proposal when funds are received?
I know there is not one correct answer.  Appreciate the feedback!

A. Adv. Svcs function as part of gift entry (check for proposal, close if exists).
B. Prosp Mgmt function (check for gift entry, close proposal, either by gift officer or PM staff)
C. Some combination of both AS and PM

In my last role, C. - Gift Processing gets direction on gift transmittal form as to proposal; Prospect Management gets weekly report pushed identifying proposals closed that are not linked to gifts and Dir or AVP troubleshoots and updates.

A. Gift Processing is alerted when there is an open proposal, confirms the funds match, then accepts and closes the proposal.  Prospect Management delivers metrics to Development on accepted/funded. open/expected opportunities.  Development Officers cannot accept or close their own opportunities. Hello from your old stomping grounds :)

It's B for us but we are currently trying to find a way to streamline the process. It is the MGO's responsibility to let PM know that the gift is closed but we have had issues where that notification did not match up with the gift/pledge actually being booked in the system. Our metrics definitions state that the gift/pledge must be booked in the system for it to count toward production.

C - Gift officers update the proposal status when a gift arrives or is promised. Then the Advancement Services team links the gift to the proposal and updates the amount funded when they are entering the gift.
