  • 1.  Parent coding - death of student

    Hello,

     

    I am curious if there is a best practice on how to code the parent records of a deceased student. We have always coded them as 'do not contact' as long as they have no other connection to us other than being a parent. Of course, this is never looked at again so they are permanently coded this way. Maybe that's fine, but I am wondering how other institutions handle these situations.

    Hi Amanda,
    Depending on the circumstance (do they have other children that may attend our university in the future, one or more parents is an alum, etc), we will mark the record as "no contact" and give them a review date (attribute). This allows us to reevaluate records on a monthly basis and add further review dates or remove solicit codes all together, as appropriate.

    We code parents as Do Not Contact or Do Not Solicit/Invite depending on the individual circumstances. We then add a review date (generally six months-one year) and will reevaluate in light of current circumstances. 

    We also add Do Not Solicit/Invite codes to surviving spouses. These code assignments are also evaluated on a schedule.
