    Who do you not send for NCOA updates? For example, we don't send current students, so we do not change their local address listed in our Registrar's Office. Do you send for major prospects, etc.?

    Our context is different, but we send out all active preferred U.S. postal addresses, as well as non-preferred Home U.S. postal addresses.

     

    I take your point about addresses of current students, but, in your situation, I might be interested to see what I got back, to possibly add as alternate addresses (unless your system or policy completely forbids anyone but the Registrar from making any changes to current student records).

     

    I say "all", but there are actually a handful that we exclude, maybe a half-dozen out of 1.3 million, for idiosyncratic reasons (a couple cases of a child who filed a change of address that keeps gathering up the similarly-named parent, someone who files NCOA updates but doesn't want us to change their address, someone with two active circular COA requests at the USPS who kept getting moved back and forth every time we ran an NCOA process, etc.).

    Hi Kirstie....

    I agree with sending out all the US Postal addresses other than students.  I also suggest that you identify what I refer to as "High Profile Constituents" (HPCs).  These are typically prospects and donors above a specific level (varies depending upon institution), board members and other "VIPs".  These should be removed from electronic updates, and should be manually confirmed using research sources when any electronic updates are received.  So, collect the data from the NCOA vendor, but do not automatically load the updates, but confirm them first and manually perform the update.  I have found that the volume is typically very manageable.

    I meant to say that, after we run our NCOA process, we send a notification to Relationship Leads about address changes to their prospects or potential prospects, to board liaisons about address changes to their board members, and to the high-end annual giving society staff about address changes to their members. 

    We don't try to "confirm" any of the changes   My experience is that there is a delay in our reference sources being updated so there is generally no confirmation for weeks or months.
