  • 1.  Inquiry About Advancement Services Team Structure

    Hi everyone,

     

    I hope you're doing well. Our institution is currently evaluating a potential reorganization of our Advancement Services team, and we're interested in learning how other teams in the field are structured.

     

    If you're willing to share, I'd love to know:

     

    • How your Advancement Services team is organized
    • The types of roles or specialties represented on your team
    • Whether you have (or have had) a programmer or technical specialist as part of your team
    • Any insights on which roles have proven most valuable as your team has grown

     

    We are exploring the possibility of adding a new position, and your experiences would be incredibly helpful as we determine what skill set would be most impactful.

    Happy to share our structure and a very brief, general summary of each position's duties...

    Director: department head, supervision, reporting writing, system development, technical expert

    Asst. Director, Reporting: request fulfillment, reporting, data process management, system support, technical support

    Asst. Director, Funds: fund creation & management, reporting, Finance & Donor Relations liaison

    Office Coordinator: office management, acknowledgements, reporting, data update/entry

    Accounting Asst.: gift processing, Finance liaison, data updates/entry

    Financial Asst.: gift processing, reconciliation, data updates/entry

    Research Asst.: data process support, data auditing, record research, data updates/ entry

    Hi Tammy,

     

    The Indiana University Foundation recently created an Advancement Services Department which consist of three main areas: Donor & Partner Engagement (DPE), Gift Agreement & Account Support (GAAS), and Prospect Management, Research & Data Quality (PMRDQ). Each area consists of three separate teams as you can see on the attached functional org chart.

     

    My area, GAAS, drafts gift agreements (1 director and 6 gift agreement writers), manages funds utilization efforts (1 manager and 1 specialist), and provides support for our ~11,000 donor gift accounts (1 associate director and 1 data quality analyst). I also have a Senior Data Analyst who reports directly to me to manage our IT projects, pull data, and write Tableau reports.

     

    If you would like more information on the other two areas in our Advancement Services department, I would be happy to reach out to my colleagues for their details.

    Tammy, Maureen Procopio wrote an excellent chapter for the 4th Edition of the CASE publication, Advancement Services Strategies. Maybe you have that book or know someone who does. The chapter is titled The Advancement Services Evolution. It reviews the "traditional" Advancement Services structure and discusses that evolution, along with commentary on specialized roles, cross-functional teams, the digital transformation, and more. You will find it to be a useful resource.
