  • 1.  In-house scanning/depositing of checks and documents?

    Hi everyone,

    I didn't see this posted anywhere, so my apologies if it's out there somewhere!

    Is anyone currently managing check deposits in-house with check scanners, rather than outsourcing to a lockbox or caging service?   If so, have you found a technical solution that allows you to scan the checks and the supporting documentation together?   

    We're currently using a Digital Check TS240 TellerScan device to deposit checks to our bank.   We then take those same checks and the supporting documents and run them through an ADF document scanner with OCR functionality to help initiate the data entry and build the PDF file that serves as the gift transaction's backup for review/retention.

    We'd love to perform just one scanning "session" that can accomplish both purposes.  My research is hitting dead ends.   I'd love to know what solutions others have found!

    This would be fabulous, I am very interested in this as well. Currently we send checks collected inhouse to our lockbox because of this issue of having to scan the checks for deposit and having to do another procedure to get the collateral and check images in a PDF.

    Digital Check has a product called SmartSource Adaptive, https://www.digitalcheck.com/full-page-check-scanner-adaptive/ which accepts full pages (up to legal) and checks in mixed batches: https://www.digitalcheck.com/full-page-check-scanner-adaptive/

    This is the only device I know of that isn't a giant machine and that can really be used effectively for the use-case of checks with attachments . Anyone out there using anything else?

    I have no complaints, I'm saying it's the only device I know that is small and does all of this.

    There may be some devices out there that don't use a MICR reader to magnetically read the check anymore, and instead are doing RDC the way our phones do it. That might be the better way to go, and I'm curious to learn from others on this.

    Hi Matt,

    We have scanners that can do both the deposit and OCR for file creation.  https://www.aq2tech.com/aqurit-7/

    I will say that we still use a lockbox for all of our annual fund mailings and are not planning on replacing that service.  (I cringe at the thought of bringing all of that physical mail back into our office).

    I'll also mention that the AQ2 scanners are relatively new to us, so I can't comment too much on the process and how they are working - but thought it would be helpful for you to know that they do exist.

    Thanks to everyone who has replied so far, here or privately!  Two things I should also clarify:

    1. While I'm aware of "remote lockbox" services that allow one to scan checks/docs to the bank for them to deposit and perform data entry, I've not been happy with our particular bank's standard lockbox service so far.  And changing banks is not a simple task here.   So I'm exploring bringing the entire check-processing operation in-house.
    2. Per #1, I'm also open to giant machines that can essentially act as a "Coinstar" for documents. :)
