  • 1.  Gift Processing and Messaging Questions

    Hello All,

     

    I would love some ideas on how to better streamline our gift processing and gift alert systems.  My team processes $1,000+ gifts and right now we primarily use email to exchange messages with our Finance team and our Gift Officers team.  We alert either Finance or our Gift Officers of incoming gifts and/or deposited and processed gifts, or those teams reach out to us about incoming gifts.  We also get outside alerts of incoming gifts from different vendors, like Fidelity or Vanguard.  We designated a special inbox for these messages, but our process is still clunky and cumbersome.  Can any other gift processors out there weigh in with their systems and what works for them across multiple departments?  Thanks!

    For notification purposes, I prefer a daily or weekly automated gift notification report. This report is generated nightly (or weekly) and goes to all development and finance staff. Others can be included in the distribution list if there's a demonstrated need to know. For instance, several organizations I've worked with automatically generate that report to department heads, listing only those gifts made to funds under their jurisdiction.

    For incoming gifts, your development/finance staff should be required to submit a contact report when they are aware of any gift above $X that may be coming from a third party. This is particularly important for security donations and DAF gifts, where the third party might not disclose the donor.

    I prefer not to use one-off emails for these purposes. They can too often get lost in the shuffle.
