  • 1.  Gift In Kind - CAD to USD whos responsible for conversion

    Hi all,

    I was wondering what others might do in a situation where a donor in Canada has expenses for a Board meeting they attended. The expenses were paid in CAD, but since we are a U.S. institution, and the trustee wants to forgo reimbursement in favor of making a gift-in-kind (GIK) instead, how should we handle the currency conversion? Should the institution convert the expenses from CAD to USD, or should the donor provide the conversion themselves? The value needs to be recorded in USD regardless, but I'm unsure of the standard practice or what other organizations typically do in this scenario. Any insights?

    In all Canadian cash donation scenarios, I provide the donor with a receipt that reflects both currency values.

    However, as this is an in-kind donation, US receipts should not reflect any amount.

    Interestingly, receipts for in-kind donations in Canada DO need to reflect a value, and the last time I checked, you needed to provide the donor with two copies of the receipt.

    Don't guess. Before you do anything, ask the donor whether they need a receipt for US or Canadian tax purposes and then follow the requirements for that country.

    Thanks, John,

     

    I should have mentioned we were looking for the value since Finance wants to put it on the internal boos.  So, I wasn't sure if we, the Institution, take ownership or rely on the donor to make that conversion for us while submitting the paperwork.

     

    Do you know of any good resources to learn about gift receipting, specifically in Canada? Webinars, URLs, etc? Thanks in advance

    I cover Canadian receipting issues in some of my webinars. Here's a snapshot from an earlier presentation - I have not checked for updates:

    Valuation is based on your estimation on the date of gift and the exchange rate on that date. But that's for internal purposes only. Your receipt should mention the donor needs to follow Canadian rules and seek independent guidance.
