Examples of Donor Notifications That Fund Purpose Is Changing Letters

  • 1.  Examples of Donor Notifications That Fund Purpose Is Changing Letters

    Posted 04-13-2023 11:03 AM

    Good morning,

    I am currently looking for examples of letters to notify donors that have given to funds that they have contributed to but have not established that we have to change the purpose of the fund. We could have had to change it because it was illegal, administrative issues,  wasteful, etc.

    We call these "Negative Confirmation Letters." We are having to notify all the donors who have given to a fund that we are changing the purpose. Any example would be appreciated.

    Here is our first draft, which I am not in love with. I thought it would give you an idea of what we are looking for.

    Example

    {Insert Sender's Name}

    Dear {First and Last Name(s)}

    We are writing to inform you that {insert fund entity} is currently in the process of amending {insert fund name} because {briefly explain why}. This change will have a positive impact because {briefly explain why}. Because you have previously contributed to this fund, we are legally obligated to notify you of changes to the fund's purpose.

    The Fund Purpose is being revised from "{insert original fund purpose}" to "{insert new fund purpose}."

    Please notify our office by {insert deadline date, to be 30 days from the send date of this communication} if you have any concerns.  If we have not heard from you by the deadline, the {insert fund entity} will be amended with the new fund purpose.

    If you have any questions, please contact {insert Contact Name} at {insert contact email and phone number}.

    Thank you for your continued support of NC State.

    Hi Sarah,

    We needed to distribute our version of the "Negative Confirmation Letter" for a specific fund last year.  It reads much the same as yours, except this was how we phrased the action portion:

    Although the original [Fund] has been dissolved, the College will use your gift in accordance with the original intention of the [Fund]. Accordingly, your gift will be used for [new purpose or fund].

    If you approve of this use of your gift, no reply is necessary.

    If you do not approve of this use of your gift, please reply by [date] to [phone], and let us know your preferred alternative designation.
