  • 1.  EFT from DAF - Push back on Gift Date booked in CRM

    Hi Fundsvcs friends,

    I'm hoping to get clarity on the question of what the gift date should be for gifts we recieve via EFT from DAFs, specifically Fidelity Charitable. As everyone who gets EFTs from Fidelity Charitable knows, you receive an email notification that contains a report of individuals who initiated the gifts, including name, designation, amount, effective date, etc. I've confirmed with Fidelity that the Effective Date = the date Fidelity relinquished the money. We've been using the effective gift date provided in those reports as the gift date in Raiser's Edge, as opposed to the date of the email received. For example, if it's FYE and we get an email from Fidelity dated June 29th but the effective date listed for each gift in the report is July 2, we would book the gift as July 2. 

    I did search the archives and found some helpful answers and, of course, I went back again to review John's annual Date of Gift Summary (aka the Bible!) and shared my results internally, but I'm still getting questions and push-back.  Also, I fully acknowledge that any donors that fall into this scenario could be recognized, stewardship-wise, as a FY24 donor, but not audit-wise. 

    I'd love to get feedback on how others are handling the gift date, specifically dealing with Fidelity Charitable -where the date of the email and the effective date listed in the report therein are different- and, more importantly what is the correct answer and the explanation behind why it should be done that way?

    Bottomline: I want make sure our gift entry policies clearly state the correct way to handle these gifts to avoid any confusion in the future.

    Kate, I would talk this over with your business office. The issue hinges on how you treat the notification. You might treat it as a pledge, in which case the date of the notification is the gift date. But it's more conservative to treat the notification as an intent to pay, not a promise to pay. In that case, you would recognize revenue only after the donor has relinquished control over the asset, and there is very little risk of reversal. The effective date is that date.

    Hello, Kate!

     

    We use the effective date as that is the date that lines up with what accounting sees when they receive the wire. Other orgs outside of Fidelity will send the same type of email notifications and sometimes those are days or a week before the money is received.

    It has been my understanding that the notification date from Fidelity is when the donor initiates the disbursement and the effective date is when the funds are actually relinquished. Perhaps that isn't accurate, but that was my operating thought once my last organization transitioned to electronic payments from Fidelity; we used the date funds were disbursed as the gift date. 

    The way I see it, unless your Finance department wants to play hardball about end of FY closing, most organizations allow a few days for advancement to close out their books for what they count so receiving the funds on July 2nd that tie back to notification that a gift was initiated on June 29th to me is a no-brainer. If push comes to shove, and sadly this idea would be too late to put into effect this year, maybe consider obtaining a quick confirmation email from the donor whose gift aligns with the notification about their intentions for that disbursement. If that email comes back in a timely fashion then perhaps your standard processes could include entering a "pledge intention" in your database to assist the 'counting' process if there really is a dire need to cut off and close books on June 30th.

    We use the date the EFT was received in our bank account, which is typically 1-2 business days after the effective date in the report, as that's the date the money is legally ours.
