  • 1.  E-receipting in NXT

    Posted 09-29-2022 03:49 PM
Hello! I am curios to know how is everyone handling receipting especially electronically and in NXT:
    • How many templates to you have or do you use only one templates for each receipt?
    • What do you do with gifts without an email?

Would love to see some samples if possible and chat with those of you who NXT for this process.

    Many thanks,
    Marta

    Hi Marta,
We recently began using NXT receipting. We've used for sending receipts for tickets relating to a fundraising event.  We use more than one template.  Overall it works well, and is very quick but there are a few issues we have with it.  First, you cannot get a copy of the emailed receipt.  The workaround is to go into the constituent record, change their email to your email (or whoever is tasked with this) and resend the email. Then go back in and change the email back.  Not great. Secondly, you cannot customize the PDF version at all and it's so generic it's embarrassing to use. We keep the receipts as part of our gift documentation; if you don't do that, it won't be an issue. The email designer is a bit clunky; you can't copy and save a template with another name. So if you customize in any way (we have our logo and have specific brand colors we use), you have to start from scratch with each new template.

We will use NXT receipting for recurring gifts with the new Mastercard requirements, once we get that process in place.

I'm happy to share our templates with you if you want to see them.

    Hi Madeleine,

I hope you are doing well today.  This is not a solicitation - this is really an explanation addressing issues you described in your post.

Prior to Blackbaud disconnecting the Mail Merge, I believe you would run a Mail Merge for each template, so multiple templates meant multiple Mail Merges.  Receipting with ReceipterPro uses internal logic allowing one Receipting session to process all your Receipts against all your available templates.

To start processing, you can import a Batch into ReceipterPro from within the ReceipterPro User Interface.  The software creates all of the Receipts using any needed Receipt  Templates.  You are presented the newly created letters for on-screen approvals, and if you want to edit text in any of these letters, you can edit the letter(s).  When you are satisfied with the documents and send them to print/email, the software automatically creates a PDF copy of each Receipt and saves them all to a drive specified in Settings and then prints or emails them.

You would never be embarrassed again because you can easily make these edits on-screen, saving you the time, expense, and frustration of a printing each letter out, then going back to make corrections and then mark the receipt NOT RECEIPTED so it can be processed again – a big time waster.

If you contact me for more information, I would be happy to send you links to recorded demos that you can watch at your convenience.

Good luck and stay safe, Art Gerstein
