I'm looking for some guidance in this situation, we ran two credit cards in 2022 through Blackbaud and although we have an authorization code for both, they somehow never really ran (didn't hit the GL, I have no idea how this happens). So, I reached out to both donors in 2022 to see about rerunning their cards, didn't hear back from either. Our accounting company is asking us to either rerun them or delete them. How would you handle this?

    Thank you!

I am surprised you have retained the credit card numbers, expiration dates, and CVV codes even to rerun the cards. [Or perhaps you are talking about vendor-held information in an encrypted environment]. Generally, it's a best practice to destroy that information after use. If the card information is being retained locally, you might consider evaluating your processes for PCI compliance.

I do not believe you have proof that the donor accounts were not charged - only that the payments did not hit your GL. It is possible that the charges went through initially, but your payments were misdirected.

I do not think you have sufficient authority to rerun the transactions. You might consider contacting the donor financial institutions with your authorization codes and asking them to trace the payments. However, I am wondering if they will do that.

If these charges are "minimal," I'd drop the matter and destroy all credit card information. If the amounts are substantial, you might try mailing a registered letter. But if you do not hear back, I'd drop the matter.
