  • 1.  Anonymous requests and Workday Finance

    We feed our gifts to Workday daily at the transaction level, and we are discussing situations where a donor requests anonymity for a gift.  Since WD gets the donor information, how are you "guaranteeing" their anonymity from budget managers, coaches, etc. who may have access to the information in Workday without placing the gift on an Anonymous Record?  

    I apologize if this is muddy or if I'm missing something obvious.  We've talked ourselves into circles on this one.

    It's not muddy!

    You must add coding to your GL feed that excludes the donor name based on an anonymity flag. I trust your feed also includes the Advancement CRM donor ID, which should be sufficient for any research requests from Finance.

    Thanks, John.  It does include the ID.  Unfortunately/fortunately?, the Advancement CRM ID is the Banner ID used in all systems on campus, so identity is still accessible.

    Well, then, there is the question regarding the degree of anonymity the donor desires.

    I typically see organizations offering just three levels. There's the "totally anonymous," which does require a unique record. But donors often are not concerned about "internal" anonymity - they just don't want any external publicity or names in honor rolls and the like. That level should cover 90% of your donors. In that case, I would not be worried about sharing the ID number assuming everyone at your organization has signed a data acquisition and use policy statement.

    The third level is at the gift level only and should also be fine in cases like this.
