Karen,
We don't have a check list and I am not sure what system you have, but we require every mailer and website to have what we call an appeal code, that must be set up before the mailing or website go live. This allows us to ask several questions that gift processing will need to know once the gifts come in.
1) Is there FMV attached to the gifts
2) Where should the money go if not designated by the donor
3) Is that default designation listed on the mailer somewhere
We also request a copy of the mailing before it is dropped and the appeal should show up on what the donor will be sending back with their donation.
The system we have allows us to track these appeals and see how well they are doing.

I work for a small, private University and we rely heavily on private funding. We have several staff members that produce mailers and various forms of solicitations for fundraising including using outside websites. Often communication with gift processor doesn't happen until too late to make changes. Can someone please share their "checklist" of order of communication and what should be included in mailers/solicitations to avoid delays and issues with processing gifts efficiently? Bingo. Also worth noting that by accepting contributions from Cocatalyst you accept their terms of service. This is relevant because their privacy policy is swiss-cheesy, and not GDPR-compliant for those who are concerned about such things.
One useful tidbit for sleuthing further:
Cocatalyst is a fiscal sponsored project of Social Good Fund, Incorporated ("SGF"), a 501(c)3 registered organization with the Internal Revenue Service. Tax receipts for donations processed by Cocatalyst will be issued by SGF, Tax Identification Number 46-1323531.
