Hello, I'm looking to get some best practice information and would love to know from this group 1. What gift levels do you use auto signatures and hand signatures? 2. Who signs at what levels? Any info on this would be most appreciated. Thank you, Sarah Sarah Fitzgerald Development Operations Manager YMCA of Greater Boston 316 Huntington Avenue Boston, MA 02115 Phone (617) 927-8273 Email: sfitzgerald@ymcaboston.org<mailto:sfitzgerald@ymcaboston.org>

Hi Sarah, We only use auto signatures on our summary of contribution (tax receipt). Acknowledgement letters are always signed by hand. We have our director of development sign letters for gifts under $1,000, and our institution's President and our Vice President of Institutional Advancement both sign for gifts of $1,000 or more, or for gifts from members of our board of directors (of any amount). We are a smaller institution in terms of the number of gifts we receive, so this works for us, but I'm not sure how this process would translate to an institution that receives a much larger volume of gifts. We are also working on a new acknowledgment process and I have been doing research on it. I watched an Acknowledgment webinar and they had a really good suggestion about finding out where your gifts fall in amount and volume before you set up who will be signing what. A $1,000 gift going to a non-profit who normally gets $10,000 gifts would not put the same emphasis on the $1,000 gift as a non-profit that normally does not get $1,000 gifts. Once you see where your gifts fall it would be easier to decide who needs to sign the letters. I would think you would not what to tie up your President signing 100 letters a day for gifts of $25.00 it would be better to have them sign 5 letters for gift of $1,000. You can have someone just below the president to sign the other letters. And like Katie said you will have those who always gets a letter from the top no matter what they give. Like I said we are also reworking our acknowledgment process and I am looking forward to the input you receive.
