Good afternoon,
The Donor Relations and Gift Accounting teams at the University of St. Thomas are looking at best practices for documenting donor commitments. Historically, formal Letters of Intent have been drafted by Donor Relations, then approved by different stakeholders. We are looking to improve our process and make it more efficient and shorten the lead time needed to get a Letter of Intent ready for a donor. I’m wondering if any of you would be willing to answer the questions below related to the creation/administration of Letters of Intent or other forms of commitment documentation. Thank you!
1. What department creates Letters of Intent in your organization (the mechanism by which a gift officer would record a pledge commitment from a donor)?
___Gift Accounting
___Donor Relations
___Gift Officers create their own
___Other
2. Do you have a review process before the Letter of Intent is delivered? If so, who is involved?
3. In addition to the donor, who internally signs your letters of intent? Check all that apply
___ President
___ Dean
___ Advancement VP
___ Gift Officer
___ Other
4. Do you utilize electronic signature software? ___ yes ___ no
If so, what brand? _______
