Assuming you have proper security protocols and mandate data security and
confidentiality agreements with all staff (and some volunteers) with a
demonstrated need-to-know, I see no reason why you should not share this
information.
When you think about it, assuming you have developed a rather seamless
interface between your advancement CRM and the general ledger, the
departmental fund administrator is going to see either the donor name or ID
in order to facilitate reconciliations, gift corrections, and reversals.
They can easily piece together who gave what.
But I do not want to make the recipient of the gift have to work for the
information. I believe in automated and customized daily or weekly gift
notification reports going to fund administrators, department heads, and
Deans when they have expressed an interest and need to know. They must go
through basic advancement CRM user training, sign confidentiality
agreements (annually) to be sure - just as all advancement employees must.
If they violate those terms there can be severe consequences.
It goes without saying if the donor has requested anonymity beyond the
advancement office, then the donor name is redacted from those reports.
