  • 1.  What do you count in your fundraising reports?

    Hi, A donor gives $500 for attending an event in which $100 is quid pro quo. We know the tax-deductible amount is $400 and that is reflected on the receipt. The question is for the donor's giving history record, do you credit $500 or $400? What is the industry practice? Do you give the donor the full $500 commitment even if $100 is not-deductible? Or do you only give the donor $400 credit in their giving history? Same with your fundraising reports and metrics? Is it $500 or $400?     Outside of higher education, my answer might be different. But in higher ed, the tendency is to count the legal value only. The exception comes with irrevocable deferred gifts. While the deductible amount is what you report to VSE, many include the face amount in lifetime giving totals. Institutions also have various "rules" on revocable gifts like bequest expectancies.     Hi Paula, In developing trustee reports early in my career, I quickly learned how important it was to be as inclusive as possible. My conversations with fundraisers helped inform this view. Giving history reports should be viewed from the perspective of donors and those who manage them. For example, imagine your VP showing a trustee her giving history. Those conversations are usually geared around stewardship and cultivation activities. The last thing you want is for your VP to be sidetracked and peppered with questions about the “accuracy” of the report (e.g. “I gave $30,000 and not $24,450”). For that reason, it’s valuable to develop a “recognition” credit model that is accurate, but as generous as possible. In that model, I’ve included premiums in recognition totals when there’s at least some charitable portion to the contribution. It’s all about donor relations; the receipts you generate already reflect the donative portion of their gift. For fundraising progress reports, however, you should follow your campaign/report counting document, which may or may not include premiums. In my experience, they usually do, but not always. If you don’t have such a document, I recommend you develop one and ask that it be approved by your VP, President, and ultimately your board. For benchmarking surveys like VSE, premiums are excluded to allow for more accurate and consistent comparisons across institutions.
