Good morning! We have a mother's club that solicits donations of gift cards that are given to our educators as part of a Christmas luncheon and to our students as Prom prizes. As our office has attempted to receive documentation of those that are making these donations so we can steward them appropriately, below is the response we get. Would love your advice on how to handle! THANKS!! Christmas luncheon gift card donors, we receive over $7000 in gift card donations and most donations come in without any indication of the donor. With that in mind , as a rule we do not keep track of the actual donors of the gift cards. We rely on the donors to keep receipts for their tax records and if they are wanting a letter, they can ask the school directly. Are these really gifts to the organization or more special benefits to staff and students? If truly gifts they can be recorded on an unidentified donor record but only if they meet the deduction requirements (none-seevice or partial interest) outlined in IRS Publication 526. Hi John, I have a slightly different scenario related to Katie's question: A vendor provides an item to our university's Purchasing department at a vendor fair (e.g. a coffee brewer), which is then given away in a free drawing for staff who attended the fair. Purchasing sends our gift processing department an In-Kind gift form for the coffee brewer with a stated value of $99 (provided by the vendor). Is this truly an in-kind donation? It is not being converted to cash and I don't feel it is supporting our charitable mission. The vendor should be thanked, but I'm questioning if we should book this "gift" into our database for $99. Many thanks, Jeannie Patch

It may be considered an unrelated gift - assuming this was solicited by your staff. Or, I would say, assuming that it will be used in support of your mission. Of course, as John says, if it was in fact solicited by your staff, it's likely that it is intended to be used in support of your mission. My US$0.02 worth; the usual disclaimers apply. Good luck!
