Summary:
The Special Events Coordinator will support the Special Events Manager, Special Events Director, and the rest of the Development Team in the execution of all of Spaulding Rehabilitation Network's fundraising events. Reporting directly to both the Special Events Manager and the Special Events Director, s/he will work closely with the team to meet the fundraising goals for each event in a creative and efficient manner.
This is an exciting time to join the development team at Spaulding - home to Harvard Medical School's Department of Physical Medicine & Rehabilitation, ranked the #2 Rehabilitation Hospital by US News and World Report, and committed to improving the lives of individuals experiencing disabilities from injury and illness. Currently in the quiet phase, the Campaign for the Spaulding Research Institute is a multi-year endeavor dedicated to transforming rehabilitation medicine from discovery to recovery.
Key Responsibilities:
* Provide critical support for all fundraising events including: Race for Rehab team, 2 annual golf tournaments, the All Aboard community event, and other donor events as required.
* Assist with handling logistics and support that will ensure annual events continue to build on previous success, in collaboration with the Special Events Manager, and Special Events Director.
* Assist with meeting scheduling for event committee members as well as the Special Events Director.
* Manage all event data in Raiser's Edge/CRM donor database ensuring event RSVPs and expenses are recorded in the Event Module and that donors are acknowledged in a timely manner.
* Work with Donor Systems Manager to ensure that all event pledges are closed within one month of event date.
* Assist with follow up and correspondence for corporate and private sponsorship opportunities as required.
* Assist and support event committee meetings and take minutes.
* Assist with logistics (sites, food, signage, decorations, sound system, etc.) for all events which will include detailed venue and vendor research and the ability to make recommendations to the team.
* Make connections with outside vendors to secure in-kind donations including food, beverage, production, décor and other items to reduce event costs.
* Keep track of events inventory and keep storage closets well-organized.
* Handle all orders for event invitations and other necessary items.
* Coordinate and solicit auction and raffle gifts as required via face-to-face meetings and coordinated mailings as requested.
* Keep track of auction items at events and all post-event follow-up.
* Work collaboratively with the Development Coordinators and Executive Assistant to provide office and administrative support back-up as needed.

Qualifications
This position requires an understanding of the inner workings of fundraising events, the principles and practices of a development operation, high levels of professionalism, collegiality, self-motivation, organization and familiarity with the mission and goals of SRH. Excellent communication and writing skills are necessary as is the ability to work collaboratively with other members of the staff, physicians, administrative leaders, and volunteers. Some availability outside of regular business hours (including some weekends) is required.
Education/Degree
* Associate's degree required
* BA/BS degree preferred
Experience Recommended
* Experience working on high caliber, successful fundraising events is preferred
1-3 years of previous development experience preferred or comparable experience in a related field.
Skills
* Proficiency in MS Word, MS Outlook, MS PowerPoint, MS Excel and Internet.
* Familiarity with Pledgemaker or Raiser's Edge preferred.
* Familiarity with the Adobe Suite and Constant Contact is a plus.
* Demonstrated excellent organizational skills and strong attention to detail.
* Demonstrated exceptional written and oral communication skills.
* Willingness to take initiative and strong creative skills essential.
* Ability to work well under pressure, to work as part of a team and to handle multiple tasks simultaneously with poise, enthusiasm, discretion and professionalism.
* Interest or experience in making solicitations.
