Good Afternoon Colleagues, For those of you who send stewardship letters to your endowed scholarship donors, what information do you include in the letter to the donor? We have not sent letters to donors in the past, but are considering doing so and we'd like to know what others are doing. Do you send corpus amount and amount paid out to students? Has it opened a can of worms? Please let me know your thoughts and experiences. Thank you. We send a letter thanking the donors for their contributions and then include a paragraph about the student as well as a photo of the student. Also, we have the students write thank you notes. If I have trouble reading the handwriting, I will redo the note. We have to keep in mind that students these days rarely write in cursive, they tend to print because that’s what they’re used to seeing. I ask that they write in cursive but for many, that is quite messy because they just don’t do it. Karen L. We send donors who make small gifts to scholarships a receipt and separately a handwritten note from a student (but not necessarily the recipient). Every student has a job on campus, and one of those jobs is writing notes for the Advancement office, so we send notes to all donors. (We're a small independent school, and I recognize that wouldn't be possible at every institution.) Those that we've identified as stewardees of scholarships funds (founding donors, their family members, the namesake of the scholarship, etc.) receive a financial report in the fall and a letter from the recipient in the spring. The financial report includes the beginning and ending values, gain/loss, gifts and other additions, and funds released for both the school's overall endowment and their fund(s). The thank you letter is typewritten (the students send me the text and I format it and add their photo and hometown), but I ask them to sign it by hand. -- Patrick J.
