SUMMARY
Works under the direction of the Advancement Services Director and is responsible for the high volume of day-to-day data entry and clerical support in a deadline-oriented department. Will be the main point person to enter all new constituents and gift entry through the ACME ticketing system as well as the Member, Fellow and Corporate gifts from other channels.
ESSENTIAL FUNCTIONS
* Performs all processing steps, in a timely manner, related to daily Membership gift entry through entering, committing and maintaining accurate membership card information.
* Processes all Fellows and Corporate membership gifts.
* Reconciles ACME export with Finance report to verify gifts are all accounted for.
* Inputs new constituents into Raiser's Edge along with appropriate coding.
* Processes gift membership activation cards daily.
* Maintains accurate and current Member/Donor information in the fundraising database, Raiser's Edge.
* Updates address changes, recognition listings, deceased records, servicing issues and other biographical data in a timely fashion.
* Maintains hard copy and electronic donor files in accordance to institutional needs, donor privacy policy, and financial compliance.
* Assists with the department's understanding of its constituents and works collaboratively with staff to develop strategies to leverage constituent data for the advancement of the organization's goals.
* Supports the development and maintenance of daily, monthly, and annual audits to ensure complete accuracy in processing and data integrity.
* Assists with the management of on-line donation forms in Raiser's Edge and ACME.
* Special projects include - updates to Volunteer records, cleansing of e-mail addresses, data cleanup project, and the creation and coding of prospect records for solicitation.
* Helps with the creation, development, and maintenance of a comprehensive policy and procedures manual for Raiser's Edge and ACME.
* Backup for creating, querying, and exporting mailing lists for membership, major gifts, grants, events, annual programs, and campaigns.
* Backup to Advancement Services Senior Coordinator for contribution and non-membership gift entry.
* Files completed batches in chronological order.
* Other duties as assigned.
QUALIFICATIONS
* Minimum two years' experience in database systems and gift processing, preferably at cultural institution.
* Proven track record in setting challenging goals and achievement.
* Experience in handling difficult, sensitive situations with diplomacy.
* Demonstrated ability to understand multiple databases.
* Proven ability to manage multiple projects/programs simultaneously, setting proper priorities within deadlines.
* Proven ability to work collaboratively as a team members and part of a larger development operation.
* Proven ability to work collaboratively with other departments.
* Ability to work with accuracy and attention to detail of foremost importance.
* Outstanding computer literacy and data management skills are required. Experience with Microsoft Word and Raiser's Edge preferred.
* AA degree or equivalent required; BA degree preferred.
* Exceptional organization and problem-solving skills.
