POSITION SUMMARY:
The Grant Operations Associate provides critical operations functions in support of a 13-member team seeking government and foundation grants in support of various clinical initiatives, education programs and research at Boston Medical Center (BMC). This position maintains the resources to support the activities of the development office, ensures consistency of operations, and creates and promotes data and operational efficiencies.
The successful candidate will be able to perform in a fast-paced, deadline-driven environment. S/he will have data management systems experience, a command of Excel, and intellectual curiosity; be self-motivated; and embrace making decisions independently. This position requires an individual who is exceedingly detail-oriented and organized who possesses a determination for accuracy and has the ability to navigate complex databases.
ESSENTIAL RESPONSIBILITIES / DUTIES:
* Maintain the pending, awarded, and declined grant pipelines within the Raiser's Edge database and generate reports for the team and office (e.g., Pipeline, Yield Reports, weekly CDO report, Board of Trustees update). Ensure necessary paperwork for pre- and post-awards are completed as necessary.
* Review all pipelines submitted by officers to ensure accuracy.
* Evaluate and assign funding probability to every submitted grant.
* Retrieve updated notices of grant agreements and grant contracts for rollovers; create and distribute rollover pipelines.
* Enter and monitor all actions in Raiser's Edge for Director of Foundation Relations and Government Grants (FRGG) and Grant Officers to ensure accuracy and timely response to foundation deadlines and reporting; reminds Director and Grant Officers about all deadlines.
* Run queries to extract appropriate data from Raiser's Edge and analyze reports; disseminate reports to multiple stakeholders.
* Troubleshoot and audit RE and projections data.
* Maintains, optimizes, and analyses department-based projections database.
* Creates detailed analytical reports for Director of FRGG and other leadership.
* Routinely analyze key metrics from RE and projections databases to both keep abreast of trends and inform work; notifies Director of new trends.
* Collect, compile and analyze financial information for the IRS 990 reporting on community benefits and review with Director of Foundation Relations and Government Grants.
* Actively pursues opportunities to improve FRGG operations by troubleshooting and resolving issues and following up with appropriate individuals.
* Design and oversee implementation of new policies, procedures for Grants Officers, optimizing the use of information systems; train FRGG staff in database best practices.
* Review grant expenditures to ensure that they are on track and apprise appropriate manager when issues arise.
* Utilizes hospital's values as the basis for decision-making.
* Submit invoices for the FRGG team via Lawson.
* Organize meeting logistics for team.
* Manage, coordinate, and maintain the integrity of hard and soft filing systems; ensure proposal attachments and other frequently needed data are current, e.g. patient demographics, audited financials.
* Tracks and analyzes Development Communications website and email metrics.
* Assists with analytics for annual giving and stewardship programs.
* Provides timely response to requests for information, service, and assistance.
* Follows department policies and procedures, and adhere to industry best practices.
* Directs and manages own timeline for all responsibilities listed above.
* Assists the Director of FRGG with other duties as necessary.

JOB REQUIREMENTS
EDUCATION:
Bachelor's Degree required.
EXPERIENCE:
Two 2 years of experience focused on data analytics, process implementation and improvements in a nonprofit or for-profit field.
KNOWLEDGE AND SKILLS:
* Knowledge of fundraising procedures and processes is preferred.
* Demonstrated ability to take complex data outputs and synthesize into understandable reports.
* Familiarity with CRM and CRM-related applications and database operations, preferably with those used in development. Experience with Raiser's Edge preferred.
* Mastery of Excel, the creation and utilization of pivot tables and other Window-based applications.
* Proficient with Microsoft Office, particularly Excel and PowerPoint or the equivalent software.
* Ability to manage multiple tasks in a deadline-driven environment.
* Proven track record with attention to detail, precision, multi-tasking, and problem-solving.
* Strong written communications skills.
* Superior interpersonal, communication and customer service skills. Comfort managing up.
* Discretion in handling sensitive and confidential information.
* Ability to work independently and as part of a team.
