  • 1.  Question about receipting/acknowledging cash memorial gifts

    Posted 01-02-2019 02:49 PM
I would record the entire amount on a "Various Donors" record and not issue any receipt. If you feel compelled to give soft-credit for the known amounts to certain individuals that is up to you. But you have no proof that those individuals paid anything - and the funds collector is not a legal agent - and they have confirmed that the money isn't theirs. So no receipts. John John H. Hello, all - Happy New Year to everyone! May I please ask if any of your institutions have a template for how you would receipt/acknowledge the following situation: * An alum passes away, and her obituary requests that people (in lieu of flowers) make a contribution to your institution. * A relative of the alum collects cash donations, and issues the school a personal check - from her own account - for the precise amount of the cash that she collected. * The relative also provides the institution with the names, addresses, and donation amounts for everyone who made a cash gift. * None of the individual cash gifts are $250+, but the sum total (i.e. the amount the relative wrote the personal check for) is more than $250. I'd appreciate any thoughts/feedback people can provide about how you'd receipt/steward these transactions. Many thanks, Michael Halverson, Ed.D. UGH - if the relative is nearby I would return the check and ask them to give you the cash. Otherwise - no one gets receipted. Maybe enter all the gifts on a special gifts record and only soft credit the individuals and send thank yous that in no way resemble a receipt. Melissa S. Gift recording isn't part of my current portfolio, but, if it were, and if the relative also transmitted note/letters from the respective donors, indicating their intent to contribute and the respective amounts, I'd think seriously about recording those amounts on the records of the several donors. My US$0.02 worth; the usual disclaimers apply. Good luck! Alan Alan S. Hejnal Data Quality Manager Smithsonian Institution - Office of Advancement 600 Maryland Avenue SW, Suite 600E P.O.
