    Hello everyone, 

    We are evaluating the outsourcing of our donation processing. During Covid, we were mostly remote and still are. We thought that it may help us free some time for the team to work on other things if mailed gift processing is outsourced. We are looking into setting up demos with  Moore Response Management Group  and Marsherall Partners .

    Our expectations would be for them to receive mail, process it, deposit it, upload scanned copies of the paperwork/forward the physical copies, and acknowledge the donation. I don't know if they would process directly into our CRM of if we would set up an import etc. I don't know if these expectations are realistic. 

    We receive and process ~2,600 pieces of mail (donation related). 

    Do any of you have experience using such a service? 

    Any experience or resources you could share would be greatly appreciated.

    A caging service will not be cost-effective if 2,600 pieces equal your annual volume. That's only ten gifts/day, which can be entered into your CRM in under 90 minutes.

    Many of my clients use caging/lockbox services, although they all take an export and process the donations into the development CRM. Only then will they issue receipts after auditing the gift activity. But those clients generally have weekly volumes in the 1,000-2,500 range.

    Can you clarify your total volumes broken down by gift/non-gift weekly?

    Thank you for sharing that. 

    The 2,600 is only our checks. We have about 4,000 total in mailed gifts (checks and or donation cards). 
    Non-gift... approx another 1,500. So 5,500 total in the year. Half of those gifts are received during two annual appeals/campaigns. 

    So in May and in Dec we receive about 1,000 mailed gifts and 250 non-gifts for a total of 2,500. The other 3,000+ throughout the other months would be about 100 per week (~75% gifts and ~25% non-gifts).

    My earlier remarks stand. I do not think your volume justifies the cost of a caging service.

    We have found a low-volume processor that charged roughly $100/mo plus ~$0.50/donation. They provided a file for import into the CRM, they did not do direct entry, but they did work to custom match fields, and they did have a decent process for exception handling. The solution was... maybe a B grade? 

    The issue is that at that pricing, you won't get daily entry. You'll get 2x weekly entry, with maybe the ability to increase frequency for a fee during peak season.
