    We use Give Campus for our fundraising, majority of our gifts from come from the GiveCampus platform. We are making changes in gift processing and needed suggestions. Details Below:

    Current Process:

    1.     We use the GiveCampus platform for fundraising.

    1. Gifts are entered in Raiser's Edge based on deposits. A gift batch is committed based on when gifts are deposited in the bank (these gifts may have come over the past 2-3 days). This helps our business office with reconciliation.

    Proposed Change:

    1.     Enter gifts as they come in rather than waiting for the deposit; commit the batch immediately.

    2.     When the deposit arrives, update the gift with the correct GL post date to help the business office reconcile.

    Challenge:
    With this change, I now have to update all gifts after entry. While I can do a mass update, it's a bit time-consuming since I need to pull gift IDs, match emails, and run vlookups before updating. Basically, a gift has to be ntered once and then updated again after a day or so.

    Wanted to get an idea how other organizations are managing this.

    My knee-jerk reaction (gets me in trouble sometimes) is to remain with you current process.  How much time will be added to the entire process (multiplied by # of gifts) to edit the date for deposit.  What work or process or report is requiring that the gift be entered upon receipt and not deposit?  If the end goal requires the process to change, then that may be a different conversation.

    We enter from the deposit report for finance reconciliation as you stated.  I would also think maybe an anomaly for this is a Day of Giving when you need to know up to the minute what has been gifted.

    Good morning, 

    The way we handle this is to enter all the gifts we received on a given day on the next business day.  So, for example, any transaction that happened yesterday is entered today with yesterday's date.  Then, we put all the credit cards/Apple Pay/Google Pay together so that the batch total matches the Stripe deposit total, and we put all the Venmo/PayPal together so that the batch total matches the PayPal deposit total.  Most of our gifts are for our annual fund, but if we get a GiveCampus transaction for endowment, we put those on a separate batch with the same breakdown by payment type.

    We are an independent school, so we aren't getting hundreds of transactions per day, but it seems to work for us and our Business Office.  We use RE/NXT, but our Business Office does not use Financial Edge, so our systems don't talk to each other.

    We've just gone through a similar analysis and opted to change our process to what you are currently doing so that we are entering gifts into our Blackbaud CRM on the deposit date. Similar to what it seems everyone else was experiencing, we needed to have the deposit date for finance and had to manually add it after the initial entry, which was causing delays and hassles. It was also causing issues with month-end, month-start gifts in the reconciliation process which was one of the main reasons we opted to wait for the deposit date.

     

    Our Annual Giving team pulls reports directly from GiveCampus when they need same day reporting (i.e., Giving Day).

    We created custom fields for their Transaction/Gift ID as well as their deposit date.

     

    We enter based on the deposit date report and when the deposit is in our bank – but use their gift date as our gift date.

    We use GiveCampus for our 3 biggest giving days of the year (otherwise we process gifts right through our Slate instance).

    We import Gifts in Slate based on deposit batches in order to help our business office with reconciliation.  Each gift gets assigned the date it was actually issued by the donor (as opposed to the date the batch payment was received at our bank), but the batch itself is entered in Slate based on when that batch of gifts is deposited in the bank.

    This works well for us.

    We use GiveCampus and RE as well and use Ziedman Development's Importacular to bring gifts from GC into a batch in RE. Part of this process sets the gift id in RE as the gift id from GiveCampus, rather than letting RE automatically create a gift id.

    For us, this helps to make sure we are not entering duplicate gifts, but in your situation it could make the updating of the deposit date a bit easier if you already have a matching id in both systems. Whether you use Importacular or manually enter the gifts into a batch, I would just suggest setting the gift id as part of your batch entry process to make any later matching for updates easier.
