  • 1.  Recognition of gifts made in previous months

Potentially basic question about the timing of gifts and recognition standards, but thought I'd pose the situation here to see if anyone has thoughts:

Our PK-12 independent school embeds a voluntary donation option in our student enrollment contract, and we process all of those enrollment payments along with the voluntary donation in June which is the month before our fiscal year ends.

Ideally, we want to recognize these donations in the upcoming fiscal year as they are paired with the enrollment documentation for that next fiscal year.

If the voluntary donation portion of the enrollment form has language stating that the gift will be recognized in the upcoming fiscal year, are we allowed to record a June payment with a July effective date?

I sure would not. I want my CRM to mirror the gift date, which should align with the deposit date. Doctoring dates in the CRM is not a sustainable practice.

You can use other methods to shift your "recognition" timing, such as appeal codes. But a gift is a gift when it is received and processed.

    Thank you for the response!

Looks like the best way forward is to investigate other methods to do this

Well, maybe. There might be others on FundSvcs that have adopted your model. While I am opposed to "fudging" dates in any form or fashion, I know some organizations still do. However, I hear about that mostly from a "backdating" perspective - not from folk wanting to future date gifts already made!

This probably depends on your CRM. What I would do in this situation is Gift Date = date when they made the gift; GL date (we've repurposed this date since we do not sync with the business office)  is the date we "recognize" their gift for listing purposes; and all gifts get a gift attribute of Annual Report year just to be certain their gift is pulled into the correct "recognition year"  and so we don't keep asking them to donate when they have already donated.
