    Hello,

    Now that we do not get much parent information, mainly addresses, from the Common App, how are your teams acquiring/enhancing parent data for advancement outreach?

    • Do you rely on campus partners or external resources to acquire parent information? 

      • If so, what data points do you receive, and how often do you receive them?

    • Do you acquire or validate parent addresses through append services?

      • If so, do you have a policy on how to treat unverified data on parents that are returned in screenings (e.g., do you record the student's home address for both parents when the append is unable to verify or find an address for the parents?)?

      • Do you marry parents in your database when an append confirms the same address for both parents? If not, how do you marry parents in your database?

    • What new collaborations have you set up with other campus partners to acquire and share parent data?
    • Are you getting consent from parents (for GDPR or PIPL requirements) to do advancement outreach?  If so, how are you arranging to get that consent?

    Hello LaKiesha,

    Happy to talk through what we do. My email address is below.

    Currently at a high school and get all the fields from the Common Application upon admission and full access to the Application. Admissions is on Slate. We are on RE, and the academic side is on Blackbaud Education products. Our researcher prescreens anyone who does not receive financial aid. For the last 5 years we have created a record for each Parent and married them where applicable. Our parents must opt-in to the Parent Directory and share their information. 

    Prior to here I worked at the University of Hartford and would pull everything from Banner Advance into RE.

    We receive 2 -4 rows per student, and each indicates whether mother or father and occasionally stepparent or guardian. We have a "Lives with" column and a "Marital Status" column and we marry all that say they are married and live at the same address.

    Lakeisha -

    To answer your questions (from our process at UChicago):

    1) Yes, we work with Admissions and the Registrar to receive information about students and parents.
    The data that we receive (through our Common App supplemental questionnaire) includes names, contact data, and employment.

    2) Parent addresses are received through our daily integration, which includes an address verification.
    As a rule, our integration will default the student address for parent(s) if no address was provided.

    As we are on ascend CRM/Salesforce - all of our parents have to be householded.  So if both parents have the same address, we marry them and put them in the same household record.

    3) We've built a collaborative and strategic relationship with both our Prospect Research team, our Parents team, and our external partners.  This has enabled us to leverage those relationships to the benefit of the Parents team.  Our current process allows us to do wealth screenings of parents for each admissions round

    Thanks Chris. Your response is helpful and somewhat consistent with our process. We are mainly looking for input on marrying parents when the parent address is not provided or confirmed. Do you all receive complaints or feedback from parents who were incorrectly coded/married in your database?

    LaKiesha, I would not assume anything regarding marital status without a second verification step. I'd kick out these "maybe married" and "maybe divorced" and let my prospect researchers do some digging.

    If they cannot find anything to confirm or deny, perhaps a thoughtful letter or email is in order: 

    Dear XYZ, we were alerted that you and so-and-so were married during a recent data enhancement project. If so, congratulations! However, sometimes, data updates don't always reveal accurate information. So, if this new information is incorrect, please alert me at johnjanedoe@gwu.edu, and we'll immediately correct our records!

    Are you in Advancement creating the relationships in the database or do they come over via the integration?  Do the reports you receive contain the ID you have on the Advancement Record (we get a report from Salesforce and we just JenzabarOne and Advancement), so the ID in Advancement may be different.

    Hi LaKiesha,

    Our admissions staff were able to provide us with a flag of "Resides with Student" for the relation records they send based on the Common App. I'm not certain what they use to determine that information since I don't have access to the raw data, but we're using it to decide whether to add the student's address as the parent address and also whether to "marry" parents in our CRM or to assume that they are divorced. A very small number of records do have an address for the relation, in which case we use that one.

    Having the "Resides with Student" flag is a helpful indicator. I will share this with our Family Philanthropy team in case they are able to collaborate with Admissions on a similar flag. Thank you so much for your response.
