    Hello colleagues,

    A faculty member has recently been awarded a substantial grant, and the payments for this grant will be disbursed directly to the faculty member as the payee. These funds are intended to support a project that the faculty member is overseeing. The faculty member is currently deciding how she will remit these payments to the University. While we haven't encountered this specific situation before, we have handled smaller amount is the past by not booking them in our constituent database.

    I'd appreciate it if you could share your practices for similar instances or direct me to any relevant law, regulations, or best practices that you're aware of.

    The first thing I would do is review the paperwork and contract from the grantor. You need to ensure they are not treating these as income to the faculty member. Assuming they are not, and the IP and products derived from the project will forever be retained by CLU, I would try to get the grantor to make you the payee. You need to make these work as gifts to CLU, not payments to the awardee!

    If it is all on the up and up and the money really belongs to you and the faculty member will not receive a 1099, then I would work with the CFO to have the faculty member named as an agent of the university for the receipt and deposit of "your" money.
