  • 1.  External Organization with Campus Address

    We have a Women's Club that is made of staff, faculty, spouses, and community members. They do not have a budget and have done some fundraising in the past, none of which was recognized by the university. They do, however, have a campus mailing address. I have received two cashier's checks from them toward a local appeal. May I create a record for them and count these as gifts?

    If the Women's Club does not serve the educational purposes of the University, you cannot count the funds.

    Remember that the IRS does not recognize payments to social organizations as deductible unless they serve educational purposes. This also applies to most student clubs/groups and Greek organizations.

    I also should have added that if this is so much of an "external" organization that it has nothing really to do with the University other than you serving as a "bank," you cannot count their gifts, even if they are educational unless the entity was a supporting organization of McMurry - meaning they exist solely to benefit the University.

    I need to modify my response. I read the original post as saying McMurry had two cashier's checks for the Women's Club - not from the Women's Club.

    Indeed, if the Women's Club is completely external to the University (even with employees as members), McMurry can accept and record donations from that Club. However, I'd want to have some sport of additional backup to substantiate the "ownership" of the cashier's check.
