  • 1.  Canceled Event Language (For Refund or 100% Donation)

    Good afternoon,

    Tickets were sold for an event and the speaker can no longer attend and the event is canceled. We will be reaching out to ticket buyers to inform them of the event cancelation and would like to offer either a refund or the ability to convert their tickets to a 100% tax-deductible donation. 

    1. What is the typical deadline to take action on their purchase for converting to donation vs. refund?
    2. Is my assumption correct that, if we don't hear from them by the deadline, that they will receive a full refund via their payment method?

    Does anyone have sample language to buyers that addresses this situation?

    You need to issue a full refund unless you are instructed otherwise. I am not aware of a timing rule here. I'd suggest you ask donors to "convert" the payment to a gift within 30 days. Anyone who does not respond within that time should be automatically refunded.

    The notification can be as simple as: Due to unforeseen circumstances, we have had to cancel the XYZ event. We will issue a full refund within thirty days. However, we would be grateful if you would consider converting your payment a tax-deductible gift. Please notify us at [email or phone number] if that is your preference.

    Your timing window depends on the refund policy you set when you sold the tickets, or that you agreed to with the ticket-selling platform (if you used one), or that is imposed by your credit card company. I'd check those first. Beyond that,  in general, CA law requires that event cancellations be refunded within 30 days, but nonprofits are exempt from that law. Nevertheless, to limit chargebacks and retain goodwill, 30 days is a reasonable timeframe.
