  • 1.  Benevity Payout Issue

    Hi everyone,

    We recently encountered an issue with a Benevity payout and wanted to see if anyone else has experienced something similar. Last month, Benevity sent us a distribution but failed to deduct their usual fees. To correct this, they deducted the missed fees from this month's payout. Despite our repeated requests, they are refusing to provide a corrected report for last month's distribution. This has created a reconciliation challenge for us, as we are unable to adjust the correct gifts retroactively.

    Has anyone else faced this issue? If so, how did you reconcile the payments?

    Yes, this happened to us, but we didn't know it was the fees from the previous month and Benevity didn't tell us that either when my team reached out. Fortunately for us, we give full recognition credit for the gifts prior to the fees being subtracted and then record the fees as net revenue offset and that is handled by the finance and accounting side.

    For us, this involved recurring donations so we knew what the amounts were supposed to be. We decided to record the transactions as they were supposed to be (with a note attached), but not send the reconciliation documents to accounting until next month. Once the payment with the missed fees comes, we will also record those transactions as normal - and then send documentation for both to accounting at the same time. So, the total of both gift sessions on our end will total both deposits on their side. It may not be the greatest solution, but it created the fewest headaches for us.

    There is no right or wrong answer here.

    You cannot give individuals legal credit for gifts made through Benevity. However, I recommend giving them soft credit for 100% of the amount they initially gave. Therefore, I would not have a reconciliation issue in this case. Benevity would have gotten 100% hard credit for the amounts they gave each time. Thus, the net would be correct after two months.

    As you can assign soft credit regardless of the amounts received, the original donors would not have been affected from a recognition perspective.
