The Data Quality team at the Smithsonian is initiating a review of corporate and foundation records in our advancement system, in partnership with Prospect Research, Corporate and Foundation Relations, and key unit staff who work with these records. We want to make sure that we don't overlook anything and would very much like to benefit from others' experience (and not have to re-invent the wheel!) so I'm hoping to start a discussion on FUNDSVCS about records of this type. To begin with, most generally, what is the one thing that you have done to improve corporate and foundation records in your advancement system that has the biggest impact on your organization? (More questions to follow!) My US$0.02 worth; the usual disclaimers apply. Good luck! Alan Alan S. Hi Alan, In my experience, the biggest impact has been focusing first on our most important prospects (e.g. "top" 100), reviewing all associated org contacts and inactivating the old ones. It's especially helpful if you can, at the same time, standardize org contact types. Doing this can help avoid the manual and time-consuming process of having fundraisers review lists of org contacts (i.e. who to include or not to include) whenever mailings occur. Hope this helps! Thanks, Ron. I'm so glad that you mentioned org contact types! I'm thinking that our current list may not be as laser-focused as we might like (e.g. why do we have a Tertiary Cultivation Contact, and why are there significantly more of them than the number of Secondary Cultivation contacts?). Here is our current list (with the number of occurrences in the database for the respective types: CONTACT_CODE CONTACT_DESC Records PC Primary 23692 SN Secondary Contact 4512 TC Tertiary Contact 1040 DC DC Area Contact 1770 HQ Headquarters 213 CP Primary Cultivation 680 CS Secondary Cultivation 210 CC Tertiary Cultivation Contact 533 PP Philanthropic/Proposal 521 SE Special Events 2132 RC Receipt Contact 125 MG Matching Gift 3 CU Curatorial 93 DE Design/Technology 4 MK Marketing 60 ME Media 26 PG Programs Officer 157 PR Public Relations 95 SC Scholar 15 SP Sponsorship Contact 30 DR Director 391 AD Assistant to the Director 103 Would anyone care to share their organization contact types, or their insights about the way that their organization contacts are structured? One particular use case that we're considering is how we communicate with our organizational constituents when we have time-sensitive new to communicate (say, the nomination of a new Secretary for the Smithsonian, or perhaps information about a controversial exhibit at one of the museums). Would you send such communication to your Primary contact at an organization, or do you identify those recipients differently? Do you send such communications to more than one contact at an organization? Thanks again! Alan Alan S.
